Description

TITLE: Events Manager    

LOCATION: McLane Center, Concord, NH and as needed Massabesic Center, Auburn, NH.  

HOURS: 35 hours/week; Full-time exempt (hourly paid) support staff position. 

COMPENSATION:   

  • $15-16 an hour, commensurate with experience.

SCHEDULE: Though NH Audubon Centers are open Wednesday-Saturday, 11:00 am – 5:00 pm, this position is expected to work Monday-Friday with Weekends.  Weekend hours are a focus and need for this position as NH Audubon continues to expand hours of public operation. Schedule may vary according to needs and seasons and includes weekends and occasional evenings.  Additional hours may be required as necessary.    

FUNCTION: This position will support the mission of New Hampshire Audubon: to protect New Hampshire’s natural environment for wildlife and for people, by serving as the Operations and Education Assistant for facility rentals and educational events managed by the Operations and Events Manager and the Education Coordinator. 

LEADERSHIP: Reports to the Director of Operations 

ESSENTIAL JOB FUNCTIONS: 

  • Manage all event emails accounts and shared calendars.
  • Answer social, business, and other event inquiries.
  • Meet potential renters and conduct facility site tours.
  • Draw up contracts and invoices for all events including managing logistics and event details.
  • Work with third party vendors.
  • Prepare facility for event or function according to contract details including, but not limited to, setting up tables and chairs, ensuring cleanliness, opening, and closing building, lighting, etc.  
  • Assist clients and vendors during events for on-site questions, needs, emergencies and respond to requests with a consistently positive and accommodating attitude, focusing on customer service. 
  • Ensure that vendors and event guests comply with NHA policies and guidelines. 
  • Continue to grow and market all events at NH Audubon locations.
  • Manage and schedule all event staff.
  • Create and oversee events department budget.
  • Conduct all post-event procedures including, but not limited to, kitchen cleanliness, restroom cleanliness, emptying trash, vacuuming floor, and facility set up. 
  • Secure building according to Center closing procedures. 
  • Perform light janitorial duties associated with maintaining public areas inside and outside the facility. 
  • Performing other duties as assigned.

QUALIFICATIONS: 

Education: High School graduate or GED required.    

Experience: Two to three years event administration, catering or similar role with demonstrated ability to make independent and coordinated decisions. Knowledge and experience in customer service preferred. Basic understanding of natural history and New Hampshire’s wildlife helpful but not required. 

Skills, Traits and Characteristics Necessary for Success: This position is under the Operations Department which includes maintenance, Nature Store, IT, and interactions with the public. As such, there is a certain amount of cross training and support necessary to be successful in this role. Must have the ability to prioritize and complete work tasks on time in a complex and dynamic workflow, a positive attitude, excellent customer service skills, ability to work independently, and a professional and courteous manner are necessary.   Must have the ability to represent the organization in a positive and pleasing manner and comply with professional dress standards. 

Physical Demands: To perform the essential functions of the position, the following applies: requires standing, stretching, bending, walking, lifting and transporting a minimum of 50 pounds.  Must be able to climb stairs, transport and set up tables, chairs, etc.
