Operations Manager 
New Hampshire Democracy Fund and New Hampshire Progress Alliance are looking for a self-motivated Operations Manager to ensure smooth operational and administrative support of a team of three, our statewide network of progressive donors, organizing and advocacy groups, consultants and other partners. We’re based out of Concord, NH, this position could work out of Concord or be a hybrid Concord/remote opportunity. The Operations Manager’s responsibilities include administrative support for organization executives, database management, handling finance procedures and vendor relations, logistical planning for meetings and events (in-person and virtual), communications support, Board and partner duties, and general office management. The Operations Manager will work directly with the Executive Director, staff, consultants, partners, and board members to support the effective daily operations and help implement strategies to drive progress on NHDF and NHPA goals. This position will report to the Executive Director.

Essential Duties and Responsibilities 

Executive Assistant 30% 
   ● Manage the Executive Director’s calendar, and support managing other staff, consultants and partner calendars, as needed. 
   ● Conduct various research as needed. 

Administrative 25% 
  ● Develop, coordinate, implement, manage and support a variety of organization-wide administrative systems including 
  ● Coordinate and attend board and other meetings, take notes, keep records, and follow up on action items when applicable. 
  ● Manage agenda for and scheduling of staff meetings. 
  ● Own the arrangement of travel booking and logistics for the staff, as requested. 
  ● Manage systems including the CRM, websites, and member communications 
  ● Liaison with staff and bookkeeper to track financials and reimbursements, contract management 
  ● Organizational point person with tech and other consultants.

 ■ Finance 25% 
  ●Process and file invoices for third-party vendors, and track payments. 
  ● Create, submit and track third-party vendor contracts to fiscal sponsors. 
  ● Act as point person for incoming and outgoing grants. Track grant timing and follow-ups. 
  ● Ensure revenue and expenses are classified correctly. 

Event Support 10% 
  ● Coordinate the execution and logistics of virtual and in-person meetings and events. 
  ● Support special events through creating invitations, registering attendees, and managing logistics and manage set-up and breakdown of events. 
  ● Attend and assist with the promotion of program-related webinars, briefings, hearings, and other events. 

Communication 10% 
● Manage public content of websites, both directly and through consultants and vendors. 
● Other duties as they arise. 

KNOWLEDGE, SKILLS AND ABILITIES
■ 2-4 years of administrative experience 
■ Excellent written, verbal communication, and interpersonal skills. 
■ Organized and able to multitask. ■ Analytical and problem-solving ability. 
■ Maintain confidentiality of sensitive materials. 
■ Attention to detail with a high level of accuracy. 
■ Proficiency in an Apple environment. 
■ Proficiency in Google Suite and Microsoft Office programs including Word, Excel, PowerPoint, and Canva. 
■ Some experience with Quickbooks, Little Green Light CRM, Netsuite/accounting and/or human resources/payroll software is a plus. 
■ Event Logistics Experience: has previously planned in-person and/or virtual events for up to 100 people. 
■ Attention to detail: Notices and fixes errors that others might overlook. Acknowledges mistakes and turns them into learning opportunities. Has a track record of leaving things better than they found them. 
■ Entrepreneurial and resourceful: Consistently overcomes challenges and leverages resources to creatively solve problems. Proposes solutions to issues without much guidance (but isn’t afraid to ask questions). Proactively asks for help, anticipates problems, and course-corrects where needed.

Work Environment
The position is based in New Hampshire, at our downtown Concord office. Currently, the staff is working remotely with one to two in office days expected. The position is a full-time, 32 - 40 hours per week position. Occasional evening and weekend work. Prefer candidates with experience working remotely and are comfortable continuing to and are comfortable continuing to do so. 

Organizational Relationships
The Operations Manager reports to the Executive Director and works collaboratively with staff, contractors, vendors and other partners on a weekly basis to maintain program efficiency. Physical Demands: Must have the physical ability to move boxes weighing 20 or 30 pounds. 

Salary Range and Benefits 
● Start date: As soon as possible 
● Travel: little in-state travel required 
● Salary: Salary range is $45,000 to $60,000 (32 - 40 hours per week/hours negotiable) 
● Benefits: Competitive benefits include health insurance, retirement and health savings account (HSA) contributions, parental leave, and generous paid time off. The office is closed between Christmas and New Year’s. FLSA Status: Exempt
