Belknap Mill Society

The Belknap Mill Society was founded as a non-profit organization of the Belknap Mill preservation effort in 1970.  Our mission is “to preserve the Belknap Mill as a unique historic gathering place and to celebrate the Lakes Region's cultural heritage through the arts, education and civic engagement.”

Our duty is to continue the preservation project that saved the Mill from demolition.  The Mill, built in 1823, is the nation’s oldest unaltered brick textile mill.  It is a unique historical structure that represents the earliest American Industrial Revolution accomplishments. The Mill was restored as a museum and cultural center, and today is a one-of-a-kind landmark, designated “New Hampshire’s Meetinghouse,” due to its architectural, geographical and historical significance.  The Society is responsible for maintaining the four story, 194 year old building to the highest preservation standards.

We operate the Mill as a community-focused event venue, cultural center and museum, featuring knitting machinery that we still operate, the 1918 hydroelectric power generating system, rotating historical and art exhibits, and concert and lecture series.

The Society proudly educates over 1200 New Hampshire elementary school children each spring at our award winning educational program ‘A day in the life of the Mill’, and with the assistance of our Artisit in Residence, Larry Frates, we strive to keep art 'alive' in our community.

We work closely with our community to offer quality events to our growing downtown area.  Community outreach continues to be a priority to the Belknap Mill Society.  We engage our community partners in events throughout the year, including Multicultural Market Day and most recently, Pumpkin Fest.  During downtown events, the Mill welcomes all public visitors for tours in the museum, use of the facilities and shopping in the gift shop.

This position requires an enthusiastic, mature and experienced individual with a passion to provide guest satisfaction.  The Event Manager is responsible for the sales, organization, communication and overall execution of events, including: weddings, functions, and meetings.  The ability to work independently, understand, anticipate and analyze the needs and expectations of clients is imperative while maximizing revenue for each event.  The candidate must be a self-starter with strong time-management skills who is able to manage multiple priorities for events, be extremely organized, detail-oriented and creative, have high energy, present well, and be a team player. 
The Event Manager reports directly to the Executive Director of the Belknap Mill Society.  Position is Part-Time with the ability to transition to Full-Time with evidence of substantial event-revenue growth.   Base rate of pay begins at $15 per hour. 

Requirements:

• It is expected that the Event Manager is accessible to Board Members and other staff and that email and phone messages are returned in a timely fashion and no later than 48 hours; and
• Implement and ensure compliance with standard operating procedures for all BMS staff; i.e.:
o All event inquiries should be responded to within one day (with an ‘out of office’ message set-up when appropriate);
o All electronic files should be organized with appropriate naming conventions to facilitate proper sorting (Ex: 2018_Wedding_EventContractV1); and
o Maintain Belknap Mill brand-identity in all marketing/communication materials.

Technical Proficiencies:
Must be proficient in:
• Microsoft Office and appropriate/applicable event and marketing software;
• Use of audio/visual equipment, as well as the ability to train others; and
• Social media and digital communications. 

Responsibilities:

Responsibilities include, but are not limited to:
• Respond to all inquiries for proposals and pursue leads for events;
• Present, negotiate, and successfully sell function space, rental items, and any other aspect of the event;
• Keep a shared calendar of events, rentals and other building uses to prevent conflicts;
• Track all deposits and payments collected and other miscellaneous relative administrative duties;
• Ensure compliance with insurance, legal, health, and safety obligations;
• Proactively handle any arising issues and trouble-shoot emerging problems on event day;
• Conduct event evaluations and report on outcomes;
• Research market, identify event opportunities and generate interest;
• Responsible for marketing efforts relative to securing clientele for weddings and functions;
• Convert prospective clientele into customers through on-site visits/meetings and proactive communication;
• Conduct outbound sales initiatives, including but not limited to trade shows, to educate target markets on the features of the Belknap Mill transitioning them from prospective clients into definite clients;
• Be present and on-site for all weddings/functions/ meetings contracted – when appropriate; and
• Provide feedback and periodic reports to Executive Director/Board of Directors.
