We are seeking a highly organized, efficient and customer-focused part-time (19 hours per week) Administrative Assistant to support the Family-Centered Early Supports and Services (FCESS) department’s day-to-day operations in a highly organized and efficient manner.  Primary duties include general office support, including but not limited to filing, copying and faxing.

Requirements:

•    High school diploma or equivalent
•    1 to 2 years’ administrative assistant experience
•     Proficiency in Microsoft Office Suite and database systems
•    Completion of Bureau of Developmental Services Welcome to ESS training

Responsibilities:

•    Prepare packets for upcoming intakes as well as informational packets for families for both Easter Seals of NH (ESNH) and The Moore Center (TMC) FCESS Programs
•    Manage  records requests:  Copy records for outside agencies as requested; coordinate with Health Information Management Department (HIM) as required
•    File progress notes, evaluations, Individualized Family Support Plans (IFSP), medical records, etc. in children’s charts (for both TMC and vendor programs)
•    Pull charts of children who have turned three years of age, and prepare them to be scanned into DocStar System;
transfer electronic record/file from “Kids” section in shared ESS Service Provision folder, to “AAA Over 3” section
•    Monitor forms supply and office supplies for department
•    Sort, open and distribute  mail as needed
•    Book conference rooms upon request
•    Assist Intake Manager with general office support
•    Assist FCESS Quality Assurance and Client Services Specialist in overseeing autism protocols paperwork, processing autism vouchers and invoices, tracking spending to ensure payments do not exceed allowed limits, as needed
•    Cover front desk as necessary
