Administrative Assistant

New Futures

New Futures is a 501(c)(3) nonprofit advocacy organization that serves as a centralized repository of campaign and ongoing advocacy capacities used to achieve defined policy goals, including goals related to health care, early childhood development and drug and alcohol policy. 

New Futures is seeking a detail oriented individual to serve as the Administrative Assistant.  This is a part-time position and schedule will be determined based on hours of operation and individual needs. 


The position requires:

  • High school graduation and five years of related experience involving progressively responsible duties requiring discretion and independent judgment OR
  • Associates Degree and three years related experience OR
  • Any combination of higher education and experience equal to five years 

In addition, candidates must be able to:

  • Use Windows operating system from 2007 to 2010
  • Use MS Office 2010/2013, including
    • Word
    • Outlook
    • Excel
    • PowerPoint
    • Publisher
  • Be organized and work independently in a team environment
  • Maintain effective working relationships with staff and general public
  • Have strong organizational skills
  • Assist with meeting scheduling, logistics, preparation, and follow-up
  • Attend meetings as needed to take minutes. Provide logistics and support for retreats and annual meetings
  • Provide general support including copying, mailing, and filing
  • Enter data in spreadsheets
  • Prepare materials for any meetings, as directed, for presentations, workshops, etc…
  • Proofread short pieces such as email messages, letters, and web pages
  • Set up procedures or checklists to maintain supplies and do a weekly order when needed to maintian supplies
  • Support workgroups and committees as assigned by the Vice President of Operations and Finance
  • Serve as contact for phone inquiries from the general public, stakeholders, funders, etc.
  • Organize and maintain paper filing system and electronic files of necessary information
  • Execute mass mailings, as necessary
  • Set up and break down conference room for meetings
  • Provide general support including copying, mailing, filing, and meeting logistics
  • Other duties as assigned
