Coordinator of Administrative Services

West Central Behavioral Health

For 40 years, West Central has provided community based mental health care provider for New Hampshire's Sullivan County and the Upper Valley.

Under the supervision of the VP of Operations, ensure consistency and uniformity of administrative practice systems across all West Central Behavioral Health’s outpatient and residential locations in Grafton and Sullivan Counties.  Support each location’s adherence to agency policies and standards.  Ensure exceptional internal and external customer satisfaction is provided.


•HS Diploma; College degree preferred

•Minimum 3 years job related experience
•Supervisory or Lead experience in a healthcare or human services environment required.  

 Required Skills:
•Must have excellent organization, interpersonal communication and supervisory skills.
•Problem solving, organization and project coordination skills are required.
•Must have proficient computer skills to support using agency software and electronic communications (Microsoft Outlook, phone systems) and Microsoft Word and Excel.
•Ability to learn necessary computer and technical skills essential to the position and Agency needs 
•Develop sensitivities and skills for determining process improvement measures to secure quality office operations.
•Maintain a high level of professionalism in appearance and conduct at all times.  
•Must be flexible and demonstrate the ablity to work with minimal supervision 
•Excellent customer service skills 
•Ability to relate to staff, clients and community around a mental health system
•Maintain skill competencies in customer service, quality improvement, compliance and safety.

 Preferred Skills:
•Prior experience in a community mental health environment


Responsible for ensuring office management processes at all locations are appropriate, continually improve and support efficiency practices as well as enhance client satisfaction.  Analyze daily office operations and utilization of resources.  Assign resources to effectively support the overall agency.
•Ensure standardization of training for all support staff in skills needed to perform required office functions by maintaining updated training processes, procedures and manuals.  Training will include agency office management software and any other relevant software system supporting office management; and appropriate training in agency policies, medical records procedures, phone system protocol, internal and external customer service skills.
•Supervise Office Managers, Maintenance Technician and Intake Specialists.
•Provide leadership through role modeling, supervising, coaching and training.
•Interact effectively and regularly with VP of Operations make recommendations for staffing needs and offer input and support to facilitate office operations to meet the agency’s objectives. 
•Ensure proper cash control and security of agency assets at each location.    
•Consistently apply disciplinary action, teaching, coaching and training. Initiate corrective action and termination recommendations, monitor employee performance and give feedback to employees.  Conduct performance evaluations on time.
•Oversee coordination of all outpatient facility maintenance; non-capital expense routine repairs and procedures with Maintenance Technician.
•Consults with Human Resources in support of the hiring and orientation process through screening, interviewing, hiring and the orientation of new employees at the work site and provide related information to Human Resources in a timely manner.
•Assist Manager of Compliance and Safety with audit preparation, medical records regulatory compliance and facility safety.   
•Ensure that staff know, understand and follow all Agency practices, policies and compliance standards. 
•Demonstrate a regard for the worth, dignity and respect of all clients, family members, visitors, and personnel.
