Clinical Secretary

Come join our team of clinical secretaries in this busy and fast paced position. West Central Behavioral Health is the nonprofit community mental health care provider for Sullivan County and the Upper Valley, ensuring access to advanced counseling, treatment, and support for people of all ages, regardless of their ability to pay. As a clinical secretary, you will be working with a team of professional to include doctors and clinicians. You will schedule appointments, maintain medical records, and so much more. Most importantly, you will be the first person to greet our clients as they visit, having a great impact on how they view us.

This position will be based in Newport, NH 2 days per week and will be flexible between Claremont, NH and Newport, NH offices the other 3 days.

Requirements:

•High School Diploma or GED
•Work experience in an office setting preferred
•Reliable transportation

Hourly rate will be between $12.50-$12.75

Responsibilities:

•Maintaining medical records: filing, tracking access and auditing to assure State regulations and Agency Clinical Records Policies and Procedures are followed.
•Cover front desk, greeting clients and answering phones.
•Fills all requests for Disclosure of Protected Health Information and maintains an activity log of all requests received and/or filled. Maintain client confidentiality at all times.
•Accurately create and maintain all client records. Files all chart components accurately and in a timely manner. Monitor chart activity to ensure that all charts are returned on time and that none are missing.
•Maintain a proper inventory of office supplies via monthly supply order.
•Tracks client activity to determine the necessity for administrative termination. Terminates all MD charts with no activity in 90 days and no planned events or current prescribed medications. Forwards report to clinicians so that they may terminate inactive charts.
•Tracks completion of state certification of all clients. Notify staff of clients needing certification, and enter al completed forms into computer system.
• Complete all data entry accurately in a timely manner, including but not limited to: Certifications, Annual Databases and Individual Service Plans (ISP’s) into our computer system. Ensures that MD signature is obtained on all necessary documents. Tracks all documents and notify clinicians and directors on a monthly basis of need for completion.
•Monitor timely documentation. Assist with preparations for outside audits and perform other monitoring/audit tasks as requested.
•Assist and back up other office staff when necessary.
