Director, Portsmouth400

Portsmouth Historical Society

The Portsmouth Historical Society is a nonprofit organization that operates a museum and welcome center in downtown Portsmouth, publishes books, and advocates for historic preservation. We tell Portsmouth stories and our mission is to provide a central city location where, in cooperation with other groups, we can introduce, interpret, and stimulate the study of Portsmouth history.

The Society is the only institution focusing on the history of the entire community.

Summary This full-time, year round position is part of the staff of Portsmouth Historical Society (PHS), a fast paced nonprofit which operates Discover Portsmouth – a multi-program museum/ welcome center – and the John Paul Jones House, a national historic landmark. The position has oversight of Portsmouth 400, an inclusive celebration of the diverse and dramatic evolution of New Hampshire’s only seaport, a celebration that will layer in programs and events leading up to 2023 and beyond. (The contract between PHS and the City of Portsmouth runs from July 1, 2017-June 30, 2024.) This leadership position will be the main point of contact for Portsmouth400, responding to both media and community members and institutions pitching ideas for participation in the program. The director will be deeply involved in fundraising, accounting, volunteer management, event planning, operations, and marketing and will be supported by key staff at PHS. This individual, with an office at Discover Portsmouth, reports to the PHS Executive Director; facilitates/acts as liaison to the Steering Committee for the Portsmouth400, a committee of the PHS board of trustees; coordinates activities with City staff, oversees communications with and reports to the City of Portsmouth.


Skills and Job Requirements

  • Bachelors minimum.
  • Minimum three years of increasingly responsible experience in management including planning, budgeting, control of expenses; fundraising and marketing.
  • Advance knowledge of computer software including: Microsoft Office Suite, Google docs.
  • Excellent interpersonal, written and verbal skills; ability to work independently and as part of a team; ability to prioritize work and meet deadlines; ability to maintain confidentiality and discretion with sensitive information
  • Knowledge of New Hampshire Seacoast history, arts and culture preferred.
  • Drivers license.

Responsibilities include but are not limited to:


  • In tandem with the Steering Committee, coordinating city-wide brainstorming sessions to generate broad involvement in the community
  • Using the feedback from these sessions to develop a long term plan and budget for the celebration to present to PHS Board of Trustees and City
  • Developing and executing strategic annual plans and accurate/effective budgets
  • Obtaining assistance from PHS staff on Financial Accounting, Development, Marketing, Operations
  • Developing new initiatives to support the strategic direction of the program while managing available budgets


  • Working with PHS Director of Development to create and execute successful fundraising strategies as part of the larger plan for Portsmouth400.
  • Responsible for grant writing, making asks


  • Performing and/or overseeing all administrative tasks with staff assistance


  • Developing marketing/communications strategies as part of the larger Portsmouth400 plan.
  • Acting as the main point of contact for the celebration, all marketing, networking, representing the organization at external events
  • Conducting local, regional, national and international outreach efforts
  • Creating content for communications on all platforms – from Enews to website, press releases to social media posts, from invitations to reports.
  • Working with vendors such as graphic designers, printers
  • Maintaining an open communication and relationship with all PHS departments


  • Internal reporting includes weekly standing meeting with PHS Executive Director, monthly meeting with Steering Committee, bi-monthly report to PHS board
  • Facilitating/acting as liaison to Steering Committee, offering logistical and creative input on the organization of ongoing and developing programs.
  • Meet Quarterly with PHS ED and City Manager to keep City apprised of progress, (Note: PHS is responsible for managing payroll, accounting and financial services and all aspects for its own federal and state regulatory filings. PHS shall provide the City a financial statement on an annual basis including a summary of revenues raised and expenditures.)
  • Working with PHS Director of Finance to track statistics and make presentations to City Council, who will be providing PHS an annual grant, on a quarterly basis
