We are seeking a part-time (20 hours per week) Human Resources Administrative Assistant to join our team!  An individual who is highly organized and detail-oriented, with strong verbal and written communication, time management, and customer service skills, as well as the ability to maintain confidentiality. 

The HR Administrative Assistant will provide administrative support to the HR team. Primary duties include acting as registrar for Relias Essential Learning, conducting meetings with new hires to complete all necessary paperwork, and general office support including, but not limited to, building employee files, filing, copying, faxing, data entry and maintaining office supplies.

Requirements:

• Associate’s degree preferred, plus 2 to 3 years of Human Resources or administrative assistant experience preferred 
• Proficiency in Microsoft Office Suite and database systems

Responsibilities:

• Provide day-to-day administrative support to HR Department including, but not limited to, data entry, creating new employee files, copying, faxing and ordering/maintaining office supplies
• Schedule and conduct new hire meetings
• Print and distribute badges
• Act as registrar for the Relias Essential Learning; assigning lessons, tracking completions, greeting and assigning participants to the computer terminals, being available for questions
• Maintain hierarchy in Relias Essential Learning, modifying as necessary and enrolling/removing learners as necessary
• Provide reports from Essential Learning as necessary
• Provide invoicing information to the business office for training
• Ordering food and booking conference rooms for trainings
• Track classroom training attendance
• Create, print and distribute certificates to attendees for completion of classroom trainings
• Enter all new hire data and employee changes into the Human Resource Information System (HRIS), create employee files, ensure employee files are complete/follow up with employees as needed, send out new hire email.
• Track receipt of annual performance reviews by logging into HRIS and/or Excel
• Process requests for criminal background and motor vehicle records check
• Maintain and reconcile petty cash for the HR Department
• Maintain tracking system for motor vehicle records check and automobile insurance
• Provide general coverage for department during office hours, unlock files in the morning upon arrival; lock files in the afternoon upon departure
• Create and distribute training calendars
• Copy, fax and file as needed 
• Collect and distribute HR Department’s mail
• Prepare files for offsite storage as needed
