Associate Foundation Program Specialist

Harvard Pilgrim Health Care Foundation is the charitable arm of Harvard Pilgrim Health Care, a regional health services company.  We have an office in Manchester, NH and provide grant funding in the state.


Position Description       

The Program Assistant provides critical communication, administrative and programmatic support to the Foundation’s Service and Giving, Healthy Food Fund, and Communications’ programs to ensure efficiency of operations; effective delivery of grant making and community activities; high quality services to nonprofit, community partners, board members, and other key constituencies; and high quality and effective communications. The position provides a unique opportunity to work with a dynamic organization and team to build a healthier community.

The Foundation

The Harvard Pilgrim Health Care Foundation provides the tools, training and leadership to build healthy communities in Connecticut, Maine, Massachusetts and New Hampshire.  As the corporate foundation of Harvard Pilgrim Health Care, it has three component programs –Employee Service and Giving, the Healthy Food Fund, and the Health Equity Roundtable. 

The Program Assistant supports the Foundation’s programs and reports to the Director of Service and Giving and the Director of Grants and Initiatives.

Requirements:

Minimum Requirements: 

  • Minimum of Associates Degree/BA preferred in communications and/or business, with a minimum of 1-3 years of office and/or non-profit experience in area related to administrative support service; managing programs, events, small budgets, and communications is a plus.
  • Excellent writing and grammar skills, and general communications’ abilities both written and verbal are required; demonstrated experience with social media management and email marketing.
  • Excellent skills in the area of organization, communication, attention to detail, time management, flexibility, ability to manage multiple tasks, define and set priorities, and problem solve are required.
  • Very strong ability to think ahead, take personal initiative, work both independently and as a member of a team, collaborate and coordinate with others, and handle confidential information.
  • Very strong knowledge of database management.
  • Excellent skills and experience with Microsoft Office, working with databases and internet research.

Working Environment:

Normal office conditions.  Will require travel.

Responsibilities:

Duties and Responsibilities:

Employee Service and Giving program (50%)

  • Plans and implements internal communications duties for all Service & Giving initiatives in coordination with the Foundation’s Sr. Communications Specialist.
  • Manages Service & Giving programs and events including the annual Connecticut Service Day and MLK Day of Service.
  • Leads service projects for quarterly New Hire Connection Meetings.
  • Supports the planning and execution of Service and Giving events as needed.

Communications program (30%)

  • Manages and creates content for the Foundation’s internal website portal (LiveWire).
  • Generates quarterly press releases for the Foundation’s 9/11 Mini-Grant program in coordination with the Foundation’s Communications Specialist.
  • Maintains the Foundation’s mailing lists and external databases of nonprofit and community partners to ensure accuracy.
  • Manages the Foundation’s e-Newsletter communications platform (Emma) for quarterly Healthy Food Fund newsletters, the New Hire welcome newsletter, and regular e-blasts regarding Foundation events and updates.

Grants and Initiatives program (20%)

  • Performs administrative functions related to the Foundation’s Healthy Food Fund program needs, including managing and processing payments for grants and awards, as needed.
  • Performs periodic research for grant-related projects.
